Privacy Policy
- We collect what we need to run a shared household task list: your name, your email address, the households you join, and the tasks and comments you add.
- Everything you add to a household is visible to every member of that household.
- The free plan shows ads from Google (AdMob in the apps, AdSense on the web). Google may use device identifiers and similar data for advertising, and only with your consent where the law requires it. Premium and Family plans have no ads.
- We don't sell your personal information.
- You can export your data or delete your account at any time in Settings.
- Questions: itasksync@gmail.com
1. Who we are
iTaskSync is developed and run by Moishe Aizen, an individual developer based in Israel ("iTaskSync", "we", "us"). We're responsible for your personal information. Under the EU/UK General Data Protection Regulation (GDPR) that makes us the controller, and under the Israeli Protection of Privacy Law, 5741-1981, the database controller.
Contact for any privacy question or request: itasksync@gmail.com.
2. Information we collect
2.1 Information you give us
- Account details: your name or display name, your email address and your password. Passwords are handled by Google Firebase Authentication and stored only in hashed form, so we never see them. If you sign in with Google (or another sign-in option shown in the app), we receive your name, email address and an account identifier from that provider.
- Profile and preferences: avatar color and initials, language, theme, completion-animation choice, notification settings and your time zone, which we use to send reminders at the right local time.
- Household content: household names, membership and invite codes, join requests, and tasks with their titles, notes, due dates, priority, category, assignee, recurrence and completion status. Also task comments, saved task templates, and suggestions or feedback you send us from the app.
- Messages to us: if you email us, we keep the email and our reply.
2.2 Information created when you use iTaskSync
- Household activity log: a record of actions in a household (for example, who added, completed or reopened a task and when). Members of that household can see it.
- Subscription status: if you buy Premium or Family, our subscription provider RevenueCat and the app store tell us your plan, its status, its renewal and expiry dates, and store transaction identifiers. We never receive your card or bank details. Payments are handled entirely by Apple or Google.
- Push notification token: if you allow notifications, Firebase Cloud Messaging gives your device a token so we can deliver notifications to it.
- Technical data: our hosting and backend providers (Google Firebase and Google Cloud) process technical data such as IP address, device and browser type, and request logs. This is needed to run, secure and debug the service.
2.3 Advertising data (free plan only)
On the free plan the apps show banner ads from Google AdMob, and the website may show ads from Google AdSense. Google's software may collect your IP address (which can show your approximate location), your device's advertising identifier (IDFA on iOS, only if you allow tracking; Advertising ID and App Set ID on Android), information about the ads you see and tap, and app diagnostic and performance data. On the web, Google may use cookies. Google uses this data to show ads, measure them and prevent fraud, under Google's own policies. Section 7 explains your choices.
2.4 What we don't collect
We don't collect your precise location, contacts, photos, health information or payment card details. Voice input on the website uses your browser's built-in speech recognition. Your browser's provider (for example Google in Chrome) may process the audio. We receive only the resulting text that you choose to save.
3. How we use your information, and why we're allowed to
| Purpose | Information used | Legal basis (GDPR) |
|---|---|---|
| Create and run your account, households and shared task lists, and keep them in sync on all your devices | Account, profile, household content, activity log | Performing our contract with you (Art. 6(1)(b)) |
| Send notifications you've switched on (task assigned, due and overdue reminders, household activity, join requests) | Push token, notification settings, time zone, household content | Contract. Your device asks for your permission first. |
| Send the weekly household summary email and service emails (such as email verification and password reset) | Name, email address, household content | Contract and legitimate interests. You can turn off the weekly summary in Settings. |
| Provide Premium or Family features | Subscription status | Contract |
| Show ads on the free plan | Advertising data (section 2.3) | Your consent where the law requires it (for example in the EEA, the UK and Switzerland), collected through Google's consent form. Otherwise legitimate interests in funding the free plan. |
| Keep iTaskSync secure, prevent abuse and fix problems | Technical data, account data | Legitimate interests (Art. 6(1)(f)) |
| Answer your questions and feedback | Your messages and suggestions | Legitimate interests / contract |
| Meet legal obligations (for example tax records or responding to lawful requests) | As needed | Legal obligation (Art. 6(1)(c)) |
We don't sell personal information. We don't use it for automated decisions that have legal or similarly significant effects on you. We don't send marketing emails without your consent.
4. Household sharing: please read this one
iTaskSync exists to share. When you join a household:
- every member can see your name, your avatar and everything added to that household: tasks, notes, comments and the activity log;
- any member can edit, complete or delete tasks in that household;
- if you leave a household or delete your account, the tasks and comments you added stay with the household, because they are part of a shared list that others rely on. If you want specific content removed, delete it before you leave, or email us.
Only invite people you trust, and don't put sensitive information (passwords, ID or card numbers, health details) in tasks.
5. Who we share information with
We share information only with service providers who help us run iTaskSync, and only as needed for the purposes above:
| Provider | What they do | Privacy information |
|---|---|---|
| Google Firebase / Google Cloud (Authentication, Cloud Firestore, Cloud Functions, Cloud Messaging, Hosting) | Sign-in, database, backend, push notifications, website hosting | firebase.google.com/support/privacy |
| Google AdMob and Google AdSense | Ads on the free plan | policies.google.com/privacy |
| RevenueCat, Inc. | Managing in-app subscriptions | revenuecat.com/privacy |
| Apple App Store and Google Play | App distribution and payment processing (under their own privacy policies) | Apple · Google |
| Our email delivery provider | Sending verification, password-reset and weekly summary emails | Available on request |
We may also disclose information when the law requires it, to protect people's rights or safety, or as part of a transfer of the service (we'll tell you first). Other members of your household see your household content, as described in section 4.
6. Where your information is stored
Our main database (Cloud Firestore) is in Google's EU multi-region. Some backend functions, such as scheduled reminders, summaries and account management, run on Google Cloud servers in the United States, and our providers may process data in other countries. Israel is recognised by the European Commission as providing adequate protection for personal data. When data moves outside the EEA, the UK or Israel, we rely on our providers' safeguards, such as the European Commission's Standard Contractual Clauses and, where applicable, the EU-U.S. Data Privacy Framework.
7. Your choices
Ads and tracking
- Upgrade: Premium and Family plans show no ads.
- iPhone / iPad: the app asks your permission before using your device's advertising identifier (App Tracking Transparency). You can change this anytime in Settings → Privacy & Security → Tracking.
- Android: you can reset or delete your Advertising ID in Settings → Google → Ads (or Settings → Privacy → Ads).
- EEA, UK and Switzerland: we show Google's consent form before personalised ads, and you can change your choice later from the app's settings. Without consent, ads are non-personalised or limited.
- Web: manage Google ad personalisation at adssettings.google.com, and control cookies in your browser.
Notifications and emails
Choose which notifications you get, and set quiet hours, in Settings → Notifications. You can also switch off notifications in your device settings, and turn off the weekly summary email in Settings. We'll still send essential service emails, such as password resets.
8. Your rights
Depending on where you live, you have the right to:
- access your information and get a copy. Use Settings → Export All Data to download it yourself;
- correct it. You can edit your profile in the app;
- delete it (section 9);
- restrict or object to certain processing, including processing based on legitimate interests;
- data portability: the export is a machine-readable JSON file, and Premium also offers CSV;
- withdraw consent at any time, without affecting earlier processing;
- complain to a data protection authority: in the EU/EEA the authority in your country, in the UK the ICO, and in Israel the Privacy Protection Authority.
Israeli residents: under the Protection of Privacy Law you may review the information about you held in our database. If it is incorrect, incomplete, unclear or out of date, you may ask us to correct or delete it. You may also ask to be removed from any list used for direct mailing.
To make a request, email itasksync@gmail.com from the address on your account. We may need to confirm it's you. We answer within 30 days. If a request is complex, we may extend that as the law allows, and we'll tell you if we do.
9. Deleting your account
- In the app: Settings → Delete My Account. Deletion is permanent.
- Without the app: follow the steps at www.itasksync.com/delete-account. You can sign in and delete your account at app.itasksync.com from any browser.
When you delete your account, we delete your sign-in account, profile, settings, notification tokens, subscription record and suggestions. Households where you're the only member are deleted with all their tasks, comments, activity and templates. In households you share with others, you're removed, ownership passes to another member if needed, and shared content stays with the household (see section 4). Deletion from our active systems happens right away or within 30 days. Copies in our providers' backups and logs are removed on their normal schedules.
Important: deleting your account does not cancel a subscription bought through Apple or Google. Cancel it in your App Store or Google Play subscription settings.
10. How long we keep information
We keep your information while your account is active. On the free plan, the app shows completed tasks from the last 30 days. When you delete your account, we delete your information as described in section 9. We keep information longer only where the law requires it (for example, records about purchases) or where it's needed to resolve disputes or prevent abuse.
11. Children
iTaskSync is not directed to children under 13, and we don't knowingly collect personal information from children under 13. You must be at least 13 to create an account, or older if the law in your country requires it (in some EU countries the age is up to 16 unless a parent consents). If you believe a child has given us personal information, contact us and we'll delete it.
12. Security
All data moves over encrypted connections (HTTPS/TLS) and is stored encrypted at rest by Google Cloud. Database security rules limit access to household members, and administrative access is restricted to the developer. No system is perfectly secure. If a security incident affects your personal information, we'll notify you and the authorities as the law requires.
13. Changes to this policy
We may update this policy as iTaskSync changes. We'll update the date at the top, and if a change is significant we'll tell you in the app or by email before it takes effect.
